Samples, shipping, warranty and RMA

These baseline terms explain how RuggedLayer scopes evaluation units, delivery responsibility, defect coverage and hardware returns for enterprise mobility projects.

The applicable quotation, order confirmation or signed contract controls the exact model, price, payment, Incoterm, schedule, warranty period, service region and RMA allocation. This page does not promise inventory, delivery time, certification, local repair or advance replacement for every product or country.

Evaluation samples

A sample is a scoped evaluation unit, not proof that every configuration is available for immediate volume delivery.

  • Availability is confirmed for the exact model, regional variant, scanner or RFID option, operating system, accessories and destination before a sample is accepted.
  • The quotation states whether the unit is purchased, loaned or supplied against a deposit, together with the evaluation period, declared value, freight, duties, return date and any non-return charge.
  • The buyer should agree the application, labels or tags, environment and acceptance questions before shipment. Confidential binaries, credentials and customer data require an approved transfer method.
  • Loan units must be returned with the listed accessories and reasonable original packaging. Loss, late return, physical damage or unauthorized modification is handled under the written sample terms.

Shipping and delivery

Each shipment is planned against a confirmed configuration, destination and allocation of cross-border responsibilities.

  • The order record identifies ship-from and destination, quantity, configuration, Incoterm, carrier method, freight and insurance allocation, customs duties, taxes and importer-of-record responsibility.
  • Dispatch and transit dates are estimates until stock, payment, export documents, carrier capacity and destination requirements are confirmed. A guaranteed date exists only when it is expressly written into the order.
  • RuggedLayer records the approved configuration and packaging before dispatch. Risk and title transfer follow the agreed Incoterm and transaction documents; substitutions or split shipments require buyer approval.
  • The buyer should inspect cartons, quantities, model labels and visible damage on receipt and report an issue within the carrier and order-notice window, preserving packaging, labels, photographs and delivery records.

Warranty scope

Warranty is configuration-specific defect coverage, not an unlimited service or compatibility guarantee.

  • The written quotation or order identifies the applicable manufacturer or project warranty, its duration and start basis. Coverage normally concerns verified defects in materials or workmanship under the approved operating conditions.
  • Coverage applies only to the recorded model, serial number, region and supplied accessories. Batteries, consumables, cables, software, third-party accessories and cosmetic wear are covered only when the order states their terms.
  • Coverage excludes misuse, accidents, operation outside published limits, unauthorized repair or modification, unapproved firmware, removed identification, improper power, normal wear and damage caused by unsuitable packaging or environment.
  • After diagnosis, an agreed remedy may be repair, replacement with the same or a functionally equivalent unit, or another written commercial resolution. On-site service, loaners, advance replacement, global repair coverage and fixed SLA are not automatic.

RMA process

Return material authorization keeps the device identity, fault evidence, logistics and responsibility traceable.

  • Start with the order reference, model, serial number, region, OS or firmware, accessories, symptom, reproduction steps and non-confidential photos or logs. Do not send credentials, customer data or restricted binaries through the public form.
  • RuggedLayer performs remote triage where practical and provides an RMA number, return location and packing instructions before shipment. Unauthorized returns may be rejected or delayed.
  • Before return, back up required data, remove accounts, screen locks, SIM and memory cards, erase business data where practical, and package the unit safely. Data recovery and preservation are not included unless separately agreed.
  • Inspection determines whether the issue is covered. Freight, duties, diagnosis and repair charges follow the order terms and confirmed cause; chargeable work requires approval. Turnaround is estimated after receipt, diagnosis and parts review.
